Privacy Policy

TalentMaps is committed to protecting your privacy. This policy explains what data we collect, how we use it, and the rights you have as a user of our platform.
1. Introduction
TalentMaps (operated by TalentMaps Inc.) helps recruitment agencies build talent maps from LinkedIn profiles. We act as a data processor on behalf of our customers — the recruitment agencies that use our platform. This Privacy Policy explains how we collect, use, store, and protect personal data in connection with our services.
2. Information We Collect
Account data. When you sign up, we collect your name, work email address, and the name of your agency or organisation. This is necessary to create and manage your account.
Profile data you submit. You paste LinkedIn URLs into the platform. We use a third-party enrichment API to retrieve publicly available LinkedIn profile information associated with those URLs, including name, headline, work history, education, skills, and location.
Usage data. We collect information about how you use the platform: pages visited, features used, credits consumed, and timestamps of key actions.
Payment data. Payments are processed by our payment provider. We do not store card numbers or full payment details on our systems.
3. LinkedIn Profile Data
We only retrieve data from public LinkedIn profiles. We do not access any non-public or private profile information, and we are not affiliated with LinkedIn Corporation.
Profile data is cached for up to 30 days to reduce redundant API lookups and minimise costs. This cached data is stored within our shared platform infrastructure but is never sold or shared with third parties.
We act solely as a data processor on behalf of our customers. We do not independently use LinkedIn profile data for any purpose beyond providing the platform service.
4. How We Use Your Data
Platform operations. We use your data to enrich profiles, generate reports, store your projects, and provide the core TalentMaps service.
Billing and account management. Account data is used to manage your subscription, process payments, and communicate important account information.
Product improvement. We analyse aggregated, anonymised usage patterns to improve the platform. We do not use individual profile data for this purpose.
Customer support. We may access your account data when you contact us for support, solely to resolve your issue.
5. Data Retention
Account data is retained while your account is active. On request following account closure, we will delete your account data within 30 days.
LinkedIn profile cache is retained for 30 days on a rolling basis, then automatically purged.
Generated reports are stored until you delete them or your account closes.
Usage logs are retained for 90 days.
6. Your Rights (GDPR / CCPA)
Depending on your location, you may have rights including: the right to access, rectify, erase, and port your personal data; the right to restrict or object to processing; and the right to withdraw consent where processing is based on consent.
CCPA. California residents may request disclosure of the categories and specific pieces of personal data we have collected, the purposes for which it is used, and the categories of third parties with whom it is shared. You may also request deletion of your personal data. We do not sell personal data.

7. Cookies
Session cookies. We use session cookies that are strictly necessary for authentication and maintaining your logged-in state. These cannot be disabled without breaking core platform functionality.
Analytics. We use privacy-preserving analytics that do not fingerprint individual users or use third-party advertising cookies. No personal data is shared with ad networks.
8. Data Security
All data in transit is encrypted using TLS 1.2 or higher. All data at rest is encrypted using AES-256.
TalentMaps is hosted on Supabase infrastructure, which maintains SOC 2 Type II certification. Access to production systems is limited to a small number of authorised personnel.
